Let’s Talk
Aplos logoWe procure and administer this

Fund accounting that keeps restricted money restricted.

Aplos is fund accounting and donor management built for non-profits, not a small-business ledger with a charity label on it. We procure it, set the fund and tag structure up front, and move your history across.

We buy it for you, set it up, move you onto it and run it afterwards.

What we work with

The products, and who each one suits.

5 listed
01

Aplos Accounting

Double-entry fund accounting, with a chart of accounts that tracks money by fund rather than only by category.

Non-profits whose donors restrict what their money may pay for.

02

Donor management

Donor records, giving history and contribution statements sitting in the same system as the ledger.

Teams re-keying gifts from a spreadsheet into the books each month.

03

Online giving

Hosted donation pages and recurring gifts that post against the fund they were given to.

Organisations still taking gifts by bank transfer and an email thread.

04

Reporting and budgeting

Budgets set per fund, with statements of financial position and activity produced from the same data.

Boards and grant officers who should be reading the numbers you are.

05

Advanced accounting

Income and expense allocation across funds, plus tagging by project, campaign or department.

Grant-funded organisations splitting one salary across three programmes.

What buying through us changes

A partnership is only worth what it changes.

Better than list

On the Aplos subscription and on the tier you actually need, where the vendor allows it. Payment processing fees on gifts are set by the processor — nobody discounts those, and we will not pretend to.

Named contacts

An escalation path into the vendor when a migration stalls or year-end throws up something odd, instead of a general support queue.

Startup credits

Where the vendor runs a discount or grant programme for registered non-profits, we prepare and sponsor the application. The award is the vendor's call, never ours.

How we help

The work around the product.

  • Scope the fund structure before anything is bought — how many funds, which restrictions, who signs them off.
  • Migrate the chart of accounts, opening balances and donor history out of Tally, QuickBooks or a spreadsheet, and reconcile the result to your last audited figures.
  • Configure allocations and tags so one grant-funded salary splits across programmes without a hand-written journal every month.
  • Set up donation forms, recurring gifts and contribution statements, and connect each of them to the fund it belongs to.
  • Train the part-time accountant or finance volunteer who will actually use it, and write the month-end routine down.
  • Administer the tenant afterwards — users, roles, renewals, and the questions that arrive at year end.
Where this is not the answer

Aplos is United States fund accounting. It is built around US non-profit reporting, and it will not produce your Indian statutory books — no Form 10B, no FC-4, no 80G receipting or 10BD and 10BE output. An Indian trust or society normally keeps Aplos alongside a statutory ledger, or should not buy it at all. We will tell you which before you sign. We also do not audit the books we help you keep.
